Connecting OpenAI's ChatGPT AI assistant on the Leeloo.AI platform

OpenAI is switching to a new interface. We recommend switching in advance to the new assistant type — OpenAI Responses (connection via Chats / Prompts is described in Section 3) — so as not to lose your data and connected tools. After this date, the classic method via Assistants will stop working.

Using OpenAI's ChatGPT AI assistant on the Leeloo.AI platform enhances communication efficiency with clients and improves their user experience. The assistant answers frequently asked questions, provides prompt informational support, helps users find necessary products or services, and operates in multiple languages. This allows your team to reduce time spent on processing repetitive inquiries and focus on more complex tasks, improving the quality of service and customer retention.

1. Registration

  1. Visit the official OpenAI website and click the "Sign Up" button.

  2. Enter your email address and click "Continue".

 

  1. Enter your password and click "Continue".

Note: You can also sign up using Google, Microsoft, or Apple.

2. Account Activation

  1. After registration, you will be redirected to the OpenAI platform.

  2. Click on the "Gear" icon in the top-right corner of the screen.

  1. Go to the Section Billing.

  1. In the "Overview" section, check the status of your account. If you have just completed the registration, the status will be “Free trial

  2. Click “Add payment details” and fill in the required fields.

  1. Top up your account with the recommended amount of $10.

 

You can set a minimum threshold for your account balance (Credits), at which automatic top-ups will be triggered. The amount for automatic top-ups can also be adjusted according to your preference.

3. Step-by-step connection of Chats to the Leeloo.AI platform

In addition to the classic method via Assistants, the assistant can be connected through OpenAI's new interface — Chats / Prompts — using the OpenAI Responses assistant type. With this method, you create and publish a Prompt in OpenAI and then link it to Leeloo.AI by its Prompt ID.

  1. In your OpenAI account, go to the Chats section.

  2. Click New Prompt and configure the required settings (model, instructions, tools, format — see the sections below).

  1. Publish the prompt using the Publish button. After publishing, a window with the Prompt ID will appear — keep this tab open, you will need the ID later.

  1. Go to the API keys section, create a new key, and copy it.

Important! Save the API key in a secure place. It is shown only once — if lost, you will have to generate a new one.

  1. Open the Leeloo.AI platform and go to Settings > Integrations > AI Assistants.

  2. Click + New Assistant and select OpenAI Responses.

  1. Paste the copied API key into the token field. Then return to the OpenAI tab, copy the Prompt ID, and paste it into the Prompt ID field in Leeloo.AI.

  2. Enter a name for the assistant on the platform and click the Connect button.

Modules that can be used when working with AI within the Leeloo.AI platform

When creating a Prompt in OpenAI, you configure the model's behavior:

  • Model — the OpenAI model the assistant runs on. It determines the quality of responses, speed, cost, and the set of available settings and tools.

  • Text format — the response format: Text (plain text), JSON object, or JSON schema (a strictly structured response following a defined schema). Use JSON when you need a machine-readable response.

  • Reasoning effort — how deeply the reasoning model "thinks" before responding (minimal / low / medium / high). Higher effort means more thorough reasoning but is slower and more expensive; lower is faster and cheaper for simple tasks.

  • Verbosity — controls the length and level of detail of the response (low / medium / high) without affecting its correctness. Low — short and to the point; high — detailed and elaborate.

  • Summary — a summary of the model's reasoning process (e.g., auto / concise / detailed). It lets you see a brief explanation of how the model arrived at its answer; convenient for review and debugging.

  • Store logs — whether to store requests and responses on OpenAI's side so they appear in the Logs section (for analysis and debugging). Turn it off if you don't want this data to be stored.

Tools in the interface

In the Prompt interface, you can enable tools that expand the assistant's capabilities. Currently active and available for use:

  • MCP server — connecting a remote MCP server (Model Context Protocol) so the assistant can use external services and actions (your APIs, product catalog, CRM operations, etc.) through a single standard interface.

  • File search — search through uploaded files (knowledge base / vector store). The assistant finds relevant fragments in your documents and answers based on them.

  • Web search — allows the assistant to search the internet for up-to-date information beyond the model's training data.

  • Code interpreter — an isolated environment where the model can execute code (calculations, data analysis, working with files and charts).

  • Function — calling custom functions: you describe your functions, and the model itself decides when to call them and returns structured arguments for execution on your side.

4. Creating an AI Assistant

 

  1. Go to the Page Playground

  1. Select the “Assistants” section on the left and click +Create”.

 

  1. Specify the following parameters:

 

  • Name — The assistant's name on the OpenAI platform.

  • System instructions — The assistant's operation script.

  • Model — The model to be used for the assistant's operation. For more details about models.

5. Connecting the Assistant to the Leeloo.AI Platform

  1. Log in to the OpenAI platform and go to Settings (gear icon).

  1. In the API keys section, click "Create an API key to access the OpenAI API.".

  1. Save the generated key in a secure location.

Important! Save your API key in a document or a more secure location. The key will not be available again. If lost, you will need to generate a new one.

  1. Log in to the Leeloo.AI platform, navigate to Settings > Integrations > AI Assistants.

  1. Click "+ New Assistant" and select "OpenAI.".

Fields:

  • API key — Paste your previously saved API key.

  • Name — The name of your assistant on the Leeloo.AI platform. This name is visible only to you and anyone with access to integrations on the Leeloo.AI platform.

  • Description — A textual description of your assistant, including its tasks and goals. This is visible only to you and anyone with access to integrations on the platform.

  • Prompt limit per subscriber — If needed, set a limit on the number of user queries to the Assistant to prevent misuse, as token usage incurs costs.

6. How to use the AI ​​Assistant on the Leeloo.AI platform

The AI ​​Assistant can be used in the following sections:

Chats:

  1. AI Assistant enable (Activate\Deactivate) button.

  2. The name of the active AI Assistant and its status.

Audience (Bulk Actions)

Launch smart interaction with the client from the very first second. Set up a greeting or any other system message that the AI assistant will send before the dialogue begins: address the lead by name, taking into account the context and predefined variables. Pass the offer, order details, or any personalization — and the client will feel the attention from the very first words. Maximum automation, minimum extra clicks.

  1. LGT - entry point. Lead enters the sales funnel.

  2. Message block. Request for information/data, greeting, announcement, etc.

Image analysis by AI assistant for specific tasks

The example shows a scenario of how an AI assistant can work with customers of an online store of leather goods (bags, wallets, etc.). The customer sends an image of a bag they like via Instagram or Telegram — the AI assistant analyzes the photo and recognizes the model, color, and other key characteristics.

Next, within the example, the assistant can:

  • Check additional details with the customer (color, delivery method, payment method, etc.);

  • Form a preliminary application with the collected information;

  • Send the application to the manager for confirmation and final processing of the order.

Thus, in this example, the customer receives a quick response without lengthy correspondence, and the manager receives complete information for processing the order, which reduces the sales time and increases conversion.

Personalized message from AI Assistant

This functionality allows the AI assistant to use pre-defined variables to create personalized messages to clients.

How it works:

  1. System Message is a system message that we send to the AI assistant before it generates a response to the client. It sets the conditions, context, and instructions for the assistant.

  2. The "Add variables" button - with its help, you can insert various variables into the System Message that will be used in responses.

  3. Variables are data that can contain any information about the client or scenario:

    • Last dates of activity in the sales funnel

    • Tags or custom fields (e.g. clothing size, niche, budget)

    • Any other values that are needed for personalization

  4. Result - after adding variables, the AI assistant generates a message taking into account this data.
