Track and manage your customers' orders in the Orders and Sales section:

In the upper left corner there is a tab switcher:

  1. All orders - this tab contains a list of all regular orders. This tab opens immediately after entering the Orders and Sales section;
  2. Recurring orders - this tab contains a list of recurring orders. You can manage them by changing the status of a recurring order;
  3. Payments - here is a list of all payments. If the order has the partial payment option activated, then it may contain several payments. All customer payments will be displayed in this tab.

At the top of the page there is a filter panel with which you can filter orders:

All orders

The "All orders" tab contains all regular orders (not recurrent) formed by your clients through offers. The table is sorted by date. Above are the newest orders:

# - order number. Each order is unique;

Date and time of order formation;

The customer who placed the order. By clicking on the name you can open a customer card;

Order status:

  • open - the order has been created;
  • completed - order payment is successful,
  • rejected - order payment failed;
  • refund - funds are returned to the buyer;

Name of the proposal (offer);

Number of the category in which the offer is located;

Offer number;

Price (in offer currency). The formula is calculated: Unit price * Quantity;

Unit price;

Quantity. How many units of the product the buyer selected when placing the order. The multiple sale feature is enabled in the offer settings;

Sales manager - thanks to whom the payment was made: a specific manager, or a system (autopayment). If such a fact is confirmed, the name will be colored green, otherwise - red.

Action:

  • Check - confirmation of the sale by the manager (more on this below);
  • Confirm - confirm the order with partial payments is completed; the button will appear after enabling the filter "Order payment type" →  "Partial"
  • Reject - reject an order with partial payments.

By clicking on the order line, a list of invoices (payments) for the order will open. If you order an offer with the partial payment option activated, then there will be several invoices. If the option is inactive - only one.

Invoice number - it is usually different from the order number, because there can be many more invoices than orders;

Invoice date - date of payment attempt;

Account status

Money credited - the amount after deducting the payment system commission

Paid in one click - if the one-click payment option is enabled in the payment system and the payment was made in one click, it will be displayed. If you enter card data, then...

The payment system through which the payment was made. The name of the payment system merchant is displayed.

Transaction price

Transaction currency is the currency in which the payment was made.

Payment % - part of the purchase of a particular offer (in case of partial payment)

A comment that was left by the buyer when ordering through the system for making manual payments;

Sales confirmation by manager

Now, when you successfully pay for an order, you can specify in the information about it who made the sale: a specific sales manager, or a system (automatic sale).

To be verified, your role must have the "Can manage auto sales and generated sales" permission. If your role has this permission, the last column of the Orders and Sales table will have a "Check" button.

The "Sales Manager" column will display the name of the manager who, in the client's card, in the "Sales Plans" tab in one of the plans, indicated that this client paid for the offer. If such information was not specified, “system” will be displayed instead of the manager’s name (the order was paid without the participation of the manager):

By default, payment for the order by the manager is not confirmed - the manager's name will be colored red. To confirm the sale by the manager, click on the button.

A confirmation window will appear:

 User additions, verification and the ability to view the error code became available through the client card.

Action button in payment system by default

If by default payment for the order will be made by the system, then it becomes possible not only to check through the button ,but also adding a user via a button

The user selection window will appear:

If the manager indicated a sale in the “Sales Plans” tab of the client card, then in the confirmation window, “Sales by user” will be selected by default and his name will be indicated. If you did not specify it, “System sales” will be selected. In this case, you can indicate the name of the manager who made the sale, change it to something else if it was actually made by another manager, or confirm the sale with the system. To confirm, click on the "Confirm" button.

After this, the manager's name will be colored green, as a confirmed sale by the manager:

Managing recurring orders

Now you can independently manage recurring orders: pause, resume, finish ahead of schedule. Management is carried out in the Recurring orders tab of the Orders and Sales section:

After the client has made the first initial payment for a recurring order, information about it will be displayed in the “Recurring Orders” table. Such an order receives the status "Active".

You can change the status of a recurring order to “completed” - completing the payment ahead of schedule, or “suspended” - by putting it on pause. To change the order status, select an action by clicking on the button:

To be able to change the status of an order, your role must have the "Can manage statuses of recurring orders" permission.

If a recurring order needs to be unpaused, select the "Activate" action:

If during the scheduled debiting of funds the order was in the “Suspended” status, then the payment will be debited within 10 minutes after the order is transferred to the “Active” status.

After the successful completion of all orders within a recurring order, such an order will automatically receive the “Completed” status.

If for some reason it is not possible to write off the payment (for example, there are no funds on the card), then 2 more attempts will be made to withdraw funds at the frequency set in the recurring payments settings. If you still fail to withdraw funds, the recurring order will receive the “Failed” status.

The order receives the “Processing” status at the time the funds are debited.

When you click on the order line, a list of all orders that were placed as part of the recurring order will open. So you will see the order number, completion date, status, price and payment system. At the very top will be the initial order. Below it are repeatable orders:

You can easily track the progress of recurring orders using information from "Remaining payments" and "Next payment date":

Detailed report on orders and sales

In order to display a detailed report on Orders and sales in your account, you can use the function presented in the screenshot. By clicking on the “more details” button, you will receive a report with a breakdown by currencies, payment systems, offers, offer categories and sales managers. Also, you have the opportunity to download the generated report to a CSV file.

By payment system - statistics of orders broken down by payment systems and currencies in which payments were made. It is possible to download a CSV file with this report and configure the columns you need.

By offer - a report broken down by offer. It is possible to sort by all available columns, as well as the ability to download a CSV file with this report

By offer category - a report broken down by offer category. If your offers are grouped by category and there is no need to look at the report for each offer separately, you can display statistics for the entire offer category. In these statistics you also have the ability to sort by all available columns and export to a CSV file.

By sales manager - a report by sales manager that allows you to see statistics broken down by user. How many payments did this or that user bring into your system. Also, it is possible to sort in each of the columns and upload to CSV. When you select filtering “by sales manager,” only those managers who have a confirmed order, that is, whose order is marked in green, will be displayed.
