1. Introduction
Definition
Integration with Webinar Stars is a direct connection of the Leeloo.AI platform to the Webinar Stars webinars and online-courses service, in which data about hosted webinars and their participants is automatically passed into Leeloo.AI. This integration belongs to the Engage and Convert customer-lifecycle stages: the webinar holds the subscriber's attention and qualifies their readiness to buy.
The B2B operator (account owner, marketer, manager) connects the integration once in the Leeloo.AI settings, after which they get a “Webinars” section in the system and automatic enrichment of client cards with webinar-viewing data — without manual export from Webinar Stars.
The B2C client (subscriber) does not interact with the integration directly: they simply follow a link into the webinar room and watch the webinar. Every action of theirs — the fact of registration, the time and duration of viewing, the device, the geolocation — becomes a data point that the system records automatically.
The Client Card is the central storage of this data. After the webinar ends, the system first searches for the client by leeloo id, then by email, then by phone number, and writes into their card the webinar name and date, the viewing time and duration, the webinar type, the device, the geolocation and a full/partial-view flag.
After reviewing this guide you will understand
how to register on Webinar Stars and connect the integration in Leeloo.AI;
where to get the API token and where to save the Webhook for two-way communication between the services;
which data about webinars and participants is synchronized and where it is recorded;
how to read the new “Webinars” section and the webinar data in the Client Card;
what limitations the integration has (one integration per account, entering via a link from the tunnel, synchronization time).
Purpose
The integration turns Webinar Stars webinars into a managed source of behavioral data inside Leeloo.AI: instead of scattered statistics on a third-party service, the manager sees each subscriber's engagement right in their card.
Engage. A webinar is an attention-holding format: the subscriber registers, comes into the room and watches the content. The integration records the depth of this engagement — whether the client showed up, how many minutes they watched, whether they watched to the end. The job — to measure the subscriber's real interest and segment the audience by webinar behavior.
Convert. Behavior on a webinar is a strong signal of readiness to buy: someone who watched the webinar to the end is warmer than a cold lead. This data is available in sales tunnels and filters for launching targeted offers. The job — to use webinar engagement as a trigger for conversion scenarios and closing toward the deal.
2. Before you start
Before starting the integration, make sure you have:
an account on the Webinar Stars platform (registration — in the first step below);
access to the Settings → Other Integrations section in Leeloo.AI;
permissions to create integrations in your Leeloo.AI account.
For one account we recommend no more than 1 integration with Webinar Stars. This prevents errors and lets you use the service efficiently.
Do not start creating an integration with the Webinar Stars service during a webinar! Please be attentive.
3. Registration in Webinar Stars and connecting the integration
Register on the Webinar Stars platform using the link https://efir.webinar-stars.com/registratsiya/ and go straight to your personal account. An email with login details will be sent to the email address you provided at registration.
Open the integrations section in Leeloo.AI: Settings → Other Integrations → New Integration.
On the page that opens, select the integration with Webinar Stars by clicking the button with the service logo.
Enter the data generated during registration on Webinar Stars (where to get it — see step 4).
Integration form fields:
Name — at your discretion.
Token — from the Webinar Stars personal account (see step 4).
Description — at your discretion.
The automatic profile creation toggle: when the toggle is on, a client profile is created for each new webinar visitor. If the toggle is off, manual accounts will not be added after webinar views.
4. Where to get the token and where to save the Webhook
To complete the integration, you need to obtain the token in the previously registered Webinar Stars account.
Click “Інтеграції”.
Select the “API” tab.
The API token is located in the request field — copy only the characters highlighted in red.
After the token is generated and copied, return to the Leeloo.AI integration form and click “Create”.
Then copy the Webhook that appears after the connection is created — click the “Copy to clipboard” button.
Save the Webhook in your Webinar Stars personal account: go to the “Інтеграції” menu, to the “Webhook” tab, paste the copied link into the API Webhook field and click “Зберегти”.
5. Checking the integration status
After entering and saving all the data on the Leeloo.AI platform, a window with the status of the initial synchronization will appear in the “Other Integrations” subsection.
Once the first webinar is synchronized, the message will change to “Success”.
6. What appears in Leeloo.AI after the integration
A “Webinars” section appears on the Leeloo.AI platform.
For each participant, the following is written into the Client Card:
webinar name;
client's name;
client's phone number;
webinar start date;
subscriber's webinar viewing time;
webinar duration;
subscriber's geolocation;
webinar type (in our case “recording”);
device used for viewing (in our case a smartphone);
information about full or partial view (in our case “View completed”).
Information about the phone number and email is displayed only if the request for these parameters is enabled in the settings on Webinar Stars. The data is collected when entering the webinar room.
7. How the data is synchronized
After a webinar ends on Webinar Stars, data about the webinar and its participants is transferred to the Leeloo.AI platform.
Individual data for each user is entered into their Client Card for further work. The distribution works as follows:
The client search for recording information is done first by leeloo id (a unique parameter automatically assigned to each user), then by email, and only after that by phone number. For data about users who attended the webinar to appear in the Client Card and the “Webinars” section, users must enter the webinar room via a “Link”-type button from the sales tunnel.
If the client is not found by these parameters, a manual user is created and the webinar information is assigned to them.
Please note: during the integration you can activate the “Automatic Webinarstars profile creation” option. After activation, manual users for the entire period of working with Webinar Stars appear on the platform.
The estimated time for transferring webinar data from Webinar Stars to Leeloo.AI is about 50 minutes + 5–15 minutes for loading users.
