Move to archive
1. Introduction
Definition
"Move to archive" is a mass action in the Audience section that simultaneously removes a group of clients from the active base by moving them to the archive. It is a tool of the Manage stage of the customer lifecycle: used to clean the active base of inactive or irrelevant subscribers while preserving their communication history.
The action reads the client list from the Audience section (respecting the active Filter Panel) and switches each selected profile to the "archived" status: the subscriber no longer appears in the active selection, is excluded from Smart Sender broadcasts, and is not enrolled in sales tunnels. The chat history, tags, and attributes remain in the Client's Card — data is not deleted, and access is preserved through a dedicated "Archive" filter.
The B2B operator (manager, marketer, administrator) launches the action via the Audience interface: picks the clients, sets the execution time, confirms the launch. Archiving removes "dead weight" from the active base — improving segmentation accuracy and reducing subscriber-license costs.
The B2C client receives no archiving notification. The change affects them indirectly: they stop receiving broadcasts and tunnel messages. If needed they can be un-archived individually from the Client's Card, but mass restoration is not supported.
The Client's Card records a transfer-to-archive marker with a timestamp and the operator who initiated it. This is a removal-from-active-base operation — the key difference vs. tag removal or unsubscribe, where the client stays a "live" subscriber.
After reading you will understand:
how to move a group of clients to the archive simultaneously via the Audience section;
how archiving differs from deletion, unsubscribe, or blacklist;
how to narrow the client selection through the Filter Panel before launching;
what data remains in the Client's Card after archiving;
why mass un-archiving is impossible and how to restore an individual client.
Purpose
"Move to archive" is the tool for managing the composition of the active base: one execution sweeps hundreds of irrelevant subscribers off the Audience view without losing their interaction history.
At the Manage stage, mass archiving covers base hygiene tasks: clear long-inactive subscribers, isolate segments after a project ends, prepare the base for a new campaign launch. The job — keep the active base as relevant as possible for broadcasts and targeting without irreversible data loss.
2. How to perform the "Move to archive" mass action
2.1. Open the "Audience" section
Go to the Audience section and, if needed, configure the Filter Panel in advance to narrow the selection to the clients who should be archived.
2.2. Open the "Mass Actions" menu
Click "Bulk Actions" on the right side of the Audience table — a list of group operations opens.
2.3. Select the "Move to Archive" action
From the list of bulk actions choose "Move to Archive". The configuration form opens.
2.4. Select clients
Tick the clients who should be moved to the archive. Checkboxes work within one page (up to 30 subscribers); "Select All" covers the entire current Audience selection respecting the filter.
2.5. Set time and confirm
Set the date and time of execution for the mass action.
The "Recommended" checkbox automatically schedules the bulk action for 02:00 AM server time.
Click "Move to Archive" to confirm. After execution the selected clients disappear from the active Audience selection.
Important! This action has no reverse bulk operation — mass un-archiving is not possible. Restoring an individual client from archive is done manually via their Client's Card.
