Export
1. Introduction
Definition
Export is a mass action in the Audience module that downloads the client database into an external Excel file (*.xlsx). It is a tool of the Analyze stage of the customer lifecycle — it moves platform data into Excel/CSV for deep analysis outside Leeloo.AI.
Export works as a read-only consumer of the platform: it reads data from the Client's Card (profile, tags, custom fields), from the communication-channels subsystem (utm tags of traffic sources) and applies the current Filter Panel filter of the Audience module. Export itself never writes back to the Client's Card — it only produces a download.
The B2B operator (manager, marketer, analyst, project owner) launches Export to obtain a slice of the client base outside the platform: for building Excel reports, transferring data to BI systems, backing up a segment before a mass action, or syncing with external CRM/email services.
The B2C client does not interact with Export directly and receives no notifications — it is an entirely internal B2B-side tool. However, every client action in tunnels, chats, and orders populates Client's Card fields that later end up in the export file: profile data, messenger nickname, tags, traffic source (utm), custom field values.
Connection to the Client's Card: Export reads almost every available Card field — client identifiers, attached communication channels, tags, custom fields and traffic sources. Client's Card is the single source of truth, and Export turns a filtered slice of it into an *.xlsx file.
After reading this you will understand:
what the Export mass action is and which Client's Card data it downloads to Excel;
how to choose clients for export — via checkboxes or the Select All button with an active filter;
which field sets are available (clients, communication channels with utm, tags, custom fields) and when to enable each;
how to schedule the export and why the Recommended option places it at 02:00;
where the 50,000-records-per-action limit applies and how to work around it via several filtered exports.
Purpose
Export is the key data exit from Leeloo.AI to the outside world. Its USP — turning the live client database into a portable *.xlsx file you can open in Excel/Google Sheets, load into BI, or hand off to a contractor without granting platform access.
At the Analyze stage Export powers offline analytics: the operator downloads a segment of clients with their tags, utm tags and custom fields to build pivot tables, calculate ROI/LTV by segment and prepare a report for leadership. The job — turn platform data into insight outside Leeloo.AI.
At the Manage stage Export helps in everyday base operations: the operator makes a backup of a segment before a risky mass action, syncs contacts with an external email service or CRM, hands a phone list to a call centre. The job — have insurance and a data-exchange channel with adjacent systems.
2. Running the Export mass action
Export is launched from the Audience module via the Mass Actions panel. Apply a Filter-Panel filter beforehand — Export will only run against the filtered clients.
Note! One mass action can export no more than 50,000 records. If the base is larger, split the download into several runs via the filter (by subscription date, tag, source).
2.1. Opening the Mass Actions panel
In the Audience section, click the "Mass Actions" button in the top right corner. A panel will slide out from the right with the list of available operations.
In the slide-out panel, select "Export" — the "Export Clients" form opens.
2.2. Selecting clients
Mark the clients you want to export. Checkboxes only work within a single page (30 subscribers) — for a larger segment, click "Select All", and Export will apply to every client that passed the current filter.
2.3. Choosing field sets
In the "Export Clients" form, tick the field sets that should land in the file. Checkboxes can be combined — the resulting Excel file will contain columns for every selected set.
Clients — basic export of the client profile in a simplified format, without links to attached funnels and messengers. Useful when you just need a list of contacts.
Communication Channels — exports client traffic sources (UTM tags) per subscription channel. Needed for marketing analytics and ad-campaign ROI calculations.
Export Tags — adds all tags attached to a client into the file. Useful for segment analysis and moving a segment into a third-party CRM.
Export Custom Fields — exports values of custom fields previously created under "Settings → Fields". Used for industry- and product-specific client attributes.
2.4. Scheduling the run time
Specify the date and time when the platform should run the export. You can fire it immediately or defer it to a specific window — for example overnight, so the system is not stressed during peak hours.
The Recommended checkbox automatically schedules the mass action for 02:00 — the platform's minimal-load window.
2.5. Launching and downloading the file
Click the "Export" button — the mass action will be queued. Once it completes, the *.xlsx file becomes available for download in the mass-action history, and you receive a ready-to-download notification.

Key terms
Term | Explanation |
|---|---|
Export | Mass action in the Audience module that downloads selected clients and the data attached to them (tags, utm, custom fields) into an Excel *.xlsx file. A read-only tool of the Analyze stage of the customer lifecycle. |
Mass action | An operation applied to a group of clients at once (export, tag-add, message-send, etc.). Launched from the "Mass Actions" panel and honours the current filter. |
Audience | Platform module that stores the client database together with the Filter Panel. The context where every mass action — including Export — is launched. |
Client's Card | Central data entity of the platform — every module reads from and writes to it. Export reads profile, tags, custom fields and traffic sources from the Card. |
Filter Panel | Cross-platform component that narrows the client selection by Card fields. Applied before Export — the download will only cover the filtered selection. |
UTM tags | URL parameters (utm_source, utm_medium, utm_campaign, etc.) that capture a client's traffic source. Available for export via the "Communication Channels" checkbox. |
Tags | Labels attached to a client manually or automatically (via tunnels/rules). Used for segmentation; included in the export via a dedicated checkbox. |
Custom Fields | User-defined Client's Card fields, pre-created under "Settings → Fields". Hold industry- and product-specific attributes and are exported as a separate set. |
Analyze stage | Sixth stage of the customer lifecycle in Leeloo.AI — analysing results and making decisions. Export supplies data for offline analytics at this stage. |
Manage stage | Third stage of the customer lifecycle — running and maintaining the base. Export is used here for backups and syncing with external systems. |
50,000-record limit | Maximum volume per export. To export more, split the segment via the filter and run multiple mass actions. |
