1. Introduction

Definition

“Roles” is a company settings section in Leeloo.AI where you create, configure and delete user roles. A role is a named set of permissions that defines which pages and which controls on those pages are available to a company user. Every company user always has a role.

The section belongs to the Manage stage of the customer lifecycle: at this stage the operator delineates the team’s areas of responsibility so that every employee works only with the data and tools they need for their task and has no access to the rest. A permission is tied either to an entire page (a platform section) or to individual elements on a page.

Roles are managed by B2B operators — the company owner and administrators. They create roles for positions (sales manager, chat operator, marketer), tick the required permissions for each role in the “View” and “Edit” columns, and then assign the role to users. A B2C client does not interact with roles directly, but it is roles that determine which employees can see their card, deals and conversations and make changes to them.

Purpose

Roles are an access-management mechanism that turns a scattered team into a manageable structure with clear areas of responsibility.

At the Manage stage, roles let the operator grant each employee exactly the set of rights they need for their work: a sales manager gets access to deals and chats, a marketer to tunnels and analytics, a support operator only to dialogues. This protects client data from accidental changes and leaks and reduces the risk of errors. The job — to delineate the team’s access to the platform’s sections and data and ensure that every user works only within their own area of responsibility.

2. Before you start

To create and configure roles, make sure you have:

  • Access to the “Settings → Roles” section in Leeloo.AI (the permission to create roles);

  • An understanding of your team structure — which positions exist and which platform sections each of them needs;

  • A pre-planned list of permissions for each future role (what the employee should be able to view and what to edit).

If you grant a role the “Edit” permission, the “View” permission must also be granted together with it. Without the view right, the edit right does not work.

3. Creating a role

  1. Go to the SettingsRoles section.

  2. Click the “Create role” button.

The role creation window will open. Its main elements are:

  1. The field for entering the role name;

  2. The button to create a new role;

  3. The button that takes you back to the previous step, to the list of roles;

  4. Permission categories.

Enter the role name and move on to configuring permissions. If necessary, you can immediately select “Enable all rights” to grant the role full access.

4. Configuring permissions

  1. Open the required permission category in the role creation window.

  2. Tick the boxes next to the items you want to activate for the user. In the “View” column you grant rights only to view information; in the “Edit” column you grant the right to make changes to the specified item.

  3. When you hover the cursor over any item, a hint appears explaining exactly what the option allows.

  4. Repeat for all the categories you need, then save the role.

Once you have ticked all the required permissions, click the “Save” button. Before saving, make sure all the necessary permissions are set for the role.

If you grant a role the “Edit” permission, the “View” permission must also be granted together with it.

5. Deleting a role

  1. Go to the Settings → Roles section.

  2. Find the role you want to delete in the list.

  3. Delete the role and confirm the action.

Before deleting a role, make sure it is not used by any user. You also cannot delete the platform’s base roles.

6. Permissions list

All permissions are grouped into categories that correspond to the platform’s main sections. In each category the rights are split into the “View” and “Edit” columns. Below is the full list of permissions for each category.

6.1. Company

View

  • Access to the “Company information” section;

Edit

  • Editing company information;

  • Changing the company status;

  • Viewing lead generation tools;

  • Viewing company offers;

  • Viewing the “Sites” section settings;

  • Viewing the “Membership” section;

  • Viewing the “Webinars” section.

Edit

  • Creating, editing and deleting tunnels;

  • Managing LGT (lead generation);

  • Editing company offers;

  • Editing the “Sites” section settings;

  • Editing the “Membership” section.

6.3. CRM

View

  • Viewing sales plans;

  • Viewing own deals;

  • Viewing all deals.

Edit

  • Editing sales plans;

  • Editing additional fields in sales plans;

  • Editing own deals;

  • Creating deals for oneself;

  • Transferring own deals to other users;

  • Editing all deals;

  • Bulk editing of deals;

  • Bulk creation of deals.

6.4. Tasks

View

  • Viewing all tasks;
