1. Introduction

Definition

User management is a platform settings section in Leeloo.AI that brings together all company employees who have access to its workspace. It stores the list of system users, their roles, access rights, and change history. The section opens via Settings → Company → Users. It is a tool of the Manage stage — it defines who on the team works with leads, deals, and customer data, and with what permissions.

The section does not exist on its own — it relies on roles (sets of access rights) and is connected to all the platform modules whose access it governs: Sales Tunnels, CRM, Chats, Analytics, and others. Each user sees and can change exactly what their role allows, so the correct configuration of this section is the foundation of secure and manageable teamwork.

The B2B operator (business owner, administrator, or department head) uses this section to invite a new employee, assign them a role, restrict access to specific tunnels, check who made changes and when, or remove a user who has left the team. By default, after a company is created, the system has one user with the Company Owner role — it grants maximum access to all features.

The B2C customer (subscriber, lead) does not interact directly with this section — they do not know how many managers the company has or which of them works with them. But it is precisely the access settings that determine which employee will see their inquiry in chat, take their deal into work, and answer their question. How quickly and well the customer is served depends on the correct distribution of roles.

This section does not write directly to the Client's Card, but it is through access rights that it is defined which operators can open, read, and edit the company’s customer cards. The user change history and tunnel assignments set the perimeter of data available to each employee.

Purpose

The «User management» section is the company’s access control center. Its unique value is that access is configured flexibly: you can grant an employee exactly the set of rights they need for their tasks, down to restricting them to specific tunnels — rather than opening the entire platform. The specific function of the section in business processes is revealed at the customer lifecycle stage where it is used.

Manage — at this stage a live manager personally guides a hot lead: sees the deal in CRM, opens the Client’s Card, replies in Chats. The «User management» section defines exactly which employees join this manual work and with what permissions: who sees other people’s deals, who can change statuses, who works only with their own tunnels. The job — build a team with a clear separation of areas of responsibility, so that each manager works within their own data perimeter without the risk of harming other people’s leads or company settings.

2. Overview of the «User management» section

The section opens via Settings → Company → Users. The page displays a table of all system users: for each, you can see their identifier, contact details, role, available tunnels, and change history. The actions for deleting existing users and creating new ones are also located here. The main feature of the page is that a new user’s access to your company can be configured flexibly.

2.1. Columns of the users table

Each row of the table is one company employee. The key user data is distributed across the columns from left to right:

  1. User ID — an individual identifier for each user in the system.

  2. User Avatar — the employee’s profile image.

  3. User Name — the name registered in the system.

  4. Email — the user’s email address.

  5. Phone — the phone number provided by the user.

  6. Role — the user’s role in the system, defining their access level. Clicking the role takes you to the list of roles.

  7. Tunnels — the list of tunnels available to this user.

  8. Recent Changes — the name and date of the employee who made changes to the current user’s data.

2.2. Actions with users

In addition to viewing data, two main actions for managing the team composition are available on the page:

  1. «Delete» button — lets you remove a user from the system with a single click.

  2. «Create user» button — lets you add a new user to the system by specifying the key data: name, email, phone, and role — and flexibly configure their access rights to the company.

By default, after a company is created, you have one user with the Company Owner role. This role grants maximum access to all platform features.
