1. Introduction

Definition

Users is a company settings section in Leeloo.AI where the account owner creates employee accounts, assigns them roles and restricts access to data. The section belongs to the Manage stage of the customer lifecycle: it defines who on the team works with subscribers, tunnels, orders and analytics within a single company, and to what extent.

The section does not exist on its own — it relies on a system of roles (permission sets) and is connected to every module of the platform: each user sees and edits only what their role allows. Permissions are checked on every interface and API request, so configuring the «Users» section correctly directly affects which Sales Tunnels, Chats, Orders and Sales and CRM sections are available to a specific employee.

B2B operator (the business owner or an administrator with the Company Owner role) configures the section through «Settings → Users»: adds an employee, fills in their name, email and phone, selects one of the previously created roles and, if needed, restricts access to specific tunnels.

B2C client (the subscriber) does not interact with this section directly and does not see it — but it is exactly the user settings that determine which manager handles their dialogue in Chats and who is allowed to see their data. For the subscriber this is expressed in communication staying within the responsible team.

The section does not write to the Client's Card directly, but through access rights it governs which employees can read and edit card data, conduct dialogues based on it and change statuses in CRM.

After reviewing this guide you will understand:

Purpose

The «Users» section is an access control tool inside a single company. It lets you scale work with subscribers across an entire team without granting every employee access to all functionality and without sharing the password of the main account. The section's specific function in business processes belongs to the management stage of the customer lifecycle.

Manage — the section distributes operational work among employees: one manager handles dialogues in Chats, another configures Sales Tunnels, a third tracks Orders and Sales — and each one sees only their own area of responsibility. The job — to ensure the team can work safely together on the customer base: give every employee exactly the permissions their function needs, and protect customer data from unnecessary access.

2. Overview of the «Users» section

The section is opened through «Settings → Users». By default, a company already has one main user with the Company Owner role — it is created for the email the account was registered with. Try not to give others access to it without necessity. The section consists of the settings of a specific user and a set of standard roles described below.

2.1. User settings

To change an employee's settings, open «Settings → Users» and select the user you need. The following fields are available in the user card:

  1. Username: field for entering the user's name.

  2. Email address: field for entering the user's email.

  3. Role: dropdown list where you need to select one of the previously created roles.

  4. Phone: field for entering the contact phone number.

  5. Access Restriction: an option that allows restricting access to certain tunnels for platform users.

If no tunnel is added, the user will not see any tunnel in the Sales Tunnels section, but will still be able to create them. In the Chats section, only chats with subscribers who subscribed to the tunnels the user has access to will be displayed.

There is an option to limit the viewing of specific tunnels for platform users. Check the box next to Allow access only to specific tunnels / Limit to specific tunnels and enter/select the names of the tunnels you allow the user to see. Such a user will see and be able to interact only with subscribers who are in the sales tunnel you grant access to.

Please note that the tunnel restriction also affects the list of orders displayed in the «Orders and Sales» section.

After configuring the fields, the following actions are available:

  1. Save: button for saving the changes made.

  2. Delete: button for deleting the current user.

2.2. Standard roles

The platform also has 6 pre-created roles for standard employee functions. They can be assigned to users right away, without creating your own roles.

Company Owner

This role gives the user access to all platform functionality. It is assigned by default to the client whose email was used to register the account. However, it can also be assigned to employees if they need access to all platform features.

Advertiser

This role includes editing rights for LGT, Analytics, and the Knowledge Base of AI Support.

It also grants the right to view company and user information, and the ability to view Tunnels, Proposals, Sales Plans, Webinars, Message Templates, Smart Mailings, Standard Messages, integrations with Messengers, Payment Systems and IP Telephony, as well as see information from the Administrative Panel.

At the same time, this role does not grant access to CRM, Archive or customer information.

Content Manager

This role includes editing rights for Tunnels, Lead Generation Tools, Proposals, Message Templates, Smart Mailings, Standard Messages, Knowledge Base, Dialog Settings, Variables, as well as Email Templates and User Tags.

It also grants the right to view company and user information, and the ability to view Webinars, integrations with Messengers, Payment Systems and IP Telephony, as well as see information from the Administrative Panel.

At the same time, this role does not grant access to CRM, Archive or customer information.

Sales Assistant

This role includes the right to edit LGT, Analytics, Proposals, Message Templates, CRM, customer information, as well as the right to conduct dialogues in chats.

It also grants the right to view company and user information, and the ability to view Lead Generation Tools, Proposals, Message Templates, Smart Mailings, Standard Messages, Knowledge Base, Webinars, Tunnels, integrations with Messengers, Payment Systems and IP Telephony, as well as see information from the Administrative Panel and the Orders and Sales section.

Supporter

This role includes the right to edit Proposals, Message Templates, CRM, customer information, Analytics, Orders and Sales, as well as the right to conduct dialogues in chats.

It also grants the right to view company and user information, and the ability to view Lead Generation Tools, Proposals, Message Templates, Smart Mailings, Standard Messages, Knowledge Base, Webinars, Tunnels, integrations with Messengers, Payment Systems and IP Telephony, as well as see information from the Administrative Panel and the Orders and Sales section.

Basic Permissions

This role grants the right to view integrations with messengers, user information, data in the Admin panel, as well as see training materials.
